Your privacy
Cité 300 values the protection of your personal information and your privacy. This policy explains how we collect, use, share, retain and protect information when you visit our website, subscribe to our newsletter, contact us or book a stay. Cité 300, we, us and our refer to the business operating cite300.com and providing the accommodation presented on it.
1. Personal information collected
Newsletter: we primarily collect your email address, the date, time and source of registration, information documenting your consent, and information about delivery, opening and use of our communications when these features are enabled. Our newsletter is managed through Brevo.
Bookings and stays: we or our management team may collect your name, email address, telephone number, postal address, stay dates and details, number of guests, preferences or special requests, billing and payment information, and the content of your communications. Payments may be processed directly by a booking platform or payment provider; we do not necessarily receive all your card details.
Enquiries: we may collect your contact details, message and information needed to answer your request or follow up on your booking.
Technical information may be collected automatically, including your IP address, device, browser and operating system, pages visited, actions taken, approximate visit time and duration, referring website and identifiers associated with cookies.
2. Why we use information
We use information to manage bookings, prepare stays, communicate before, during and after your visit, answer questions and provide guest support. With your consent, we send newsletters, offers and updates, run competitions and contact winners.
Information may also help improve our website and services, produce statistics, prevent fraud, secure our systems, fulfil accounting, tax and legal obligations, manage complaints and protect our rights. Collection is limited to information reasonably necessary for these purposes.
3. Consent
We collect, use and disclose personal information with your consent or where permitted by law. Consent must be clear, freely given, informed and specific. Requests for a new use of your information are presented separately in plain language.
You may refuse to provide information, although this may prevent us from processing a booking, answering a request or providing a service.
Newsletter subscriptions are voluntary. By subscribing, you agree to receive commercial communications from Cité 300. Every newsletter includes an unsubscribe mechanism. You may withdraw consent at any time using that link or by contacting us. Withdrawal does not retroactively affect lawful uses or disclosures already made.
4. Cookies and browser storage
This version of the website is hosted by Netlify. Session storage in your browser temporarily remembers your chosen dates and number of guests. This keeps your choices while you browse. The newsletter window opens automatically when you arrive on the home page; you may close it without subscribing.
Dates and guest numbers are sent to Guesty when you open a booking link. Your email is sent to Brevo only when you submit the newsletter form. Booking, newsletter and hosting providers may use their own cookies and technical logs.
This website version does not embed an Instagram feed or an advertising pixel. Social links open the respective external sites. You can remove browsing data through your browser settings, which also removes stored preferences.
5. Sharing with service providers and third parties
We do not sell or rent personal information. We may share it with providers assisting us where necessary: Netlify for hosting this version of the website; Brevo for newsletter registration and delivery; Prohost Québec for booking management and guest service; Guesty and other booking platforms; payment providers; IT hosting, security, analytics or support providers; and professional advisers such as accountants, insurers and legal advisers.
Providers are authorised to use information only to deliver the requested services, subject to their contractual and legal obligations. We may also disclose information where required by law, in response to a valid order, or to protect our rights or anyone’s safety.
6. Processing outside Québec
Some technology providers may process or store personal information outside Québec or Canada, where it may be subject to local laws. Before transferring information outside Québec, we take the measures required by law to assess risks and provide appropriate protection.
7. Retention and destruction
We retain information only as long as needed for the purposes described and to meet legal obligations. Retention depends on the nature and sensitivity of information, its purpose, our relationship with the person, accounting, tax, contractual and legal requirements, and the need to handle complaints or protect our rights.
Newsletter information is retained until you unsubscribe or the service ends. After an unsubscribe request, minimal information may be kept to respect and document your choice. Information no longer needed is securely destroyed or anonymised where permitted by law.
8. Security measures
We apply reasonable administrative, technical and physical measures to protect information against unauthorised access, loss, theft, misuse, disclosure, alteration and accidental destruction. Access is limited to people and providers who need it for their work. No online transmission or IT system can be guaranteed completely secure.
9. Your rights
Subject to applicable legal conditions and exceptions, you may request access to information we hold about you, correction of inaccurate or incomplete information, withdrawal of consent, and details about its use and disclosure. Where applicable, you may request cessation of dissemination or de-indexing, or a copy of certain computerised information in a structured, commonly used technological format.
We may need to verify your identity. We respond within the time required by law. If we cannot fulfil a request, we explain why, subject to legal restrictions.
10. Complaints
Contact the person responsible for personal information protection to ask a question or make a complaint. Complaints are handled confidentially; we review the situation and respond within a reasonable time. You may also contact Québec’s Commission d’accès à l’information if you believe your rights have not been respected.
